List, timeline and calendar

Besides the board, a project shows its work in three more ways. The list is a table, the timeline shows date bars, and the calendar is a month or week grid. This page is for project members. Project administrators also choose which views a project offers, which is covered in Project settings.

View Shows Use it to
List One row per work item, with columns you choose Sort, group, edit in place and select many items
Timeline Epics and their work as bars on a date scale See dates and dependencies, and move dates
Calendar Work on its due date, by month or week See what is due when, and reschedule it

Every view shows only the work you may read.

You add, remove, resize and reorder the columns of a project’s list. Your choice is saved for you and that project, and nobody else can read it, administrators included.

  • Columns. Type, status, priority, assignee, reporter, sprint, epic, labels, components, fix versions, story points, due date, created, updated, resolution and custom fields. A list holds at most 30 columns.
  • Sort. By a column, by key or summary, or by rank.
  • Group. By status, assignee, priority, type, epic or sprint, or no grouping.
  • Edit in place and select. Change a value in its cell, or select several rows for a bulk change. Bulk changes run as described in Work items.

The list of all work across projects is a separate list. It always shows the project, the key and the summary. You can add type, status, priority, assignee, reporter, labels, story points, due date, created, updated and resolution. It has no custom-field columns and no grouping, and it sorts by updated, created, priority, key or due date.

A named view keeps the columns, sort and filters of a list or a timeline under a name. You can keep it for yourself or share it with the project.

  1. Arrange the list or timeline the way you want it.
  2. Save it as a new view. Names have 1 to 80 characters and cannot repeat among your own views or among the project’s shared views, ignoring case.
  3. To share it, choose shared. Only people who may work in the project can share, and only the owner shares or unshares a view.

You can keep up to 50 personal views of each kind in a project, and a project holds up to 100 shared views. Viewers keep personal views but cannot share them.

When you load a view and change the layout, the page marks it as changed. You can save it back, revert it, or save it as a new view. You can also copy a view, rename it and delete it. A project administrator can edit and delete shared views.

Nobody overwrites another person’s edit unseen. If someone changed a view you loaded, the page tells you who and lets you load theirs or keep yours. A save made from an old version is refused, and the page shows the current view. Deleting a view leaves your list as it is. Named views are not offered in JQL mode or on the list of all work.

The timeline shows epics with their work and sub-tasks as bars.

  • Collapse and filter. Collapse epics. Filter by text, assignee, status and epic. Matching work keeps its epic in view.
  • Zoom. By weeks, months or quarters. Your zoom is remembered.
  • Dependencies. Blocking links are drawn between bars. The timeline marks a dependency whose blocked work starts before its blocker ends. A link shows only when you can read both work items.
  • Change dates. Drag a bar or either end, use the arrow keys, or open the dates dialog. The server refuses a due date before the start date.
  • Settings. Show or hide work under epics, sub-tasks and completed work (an epic still spans hidden work). Show status, assignee, priority, due date or story points beside each row. Colour bars by type, epic colour or status.

For timelines across several projects, with capacity and what-if scenarios, see Plans, teams and capacity.

The calendar shows work on its due date, by month or by week. Rescheduling from the calendar follows the time zone of your profile. Start and due dates of a work item are calendar dates. The calendar remembers whether you last used the month or the week view.

Pages reopen as you left them, and each page is remembered separately for each project.

Page Remembered
List Columns, sort, filters, and which named view the layout came from
Timeline Zoom, levels, fields, colours and filters
Calendar Month or week, and filters
Board Field filters and lanes by epic or none
Backlog Filters
Reports Each report’s options, such as metric, days, weekends and view

A page remembers up to 20 filters. Values inside one filter combine with OR, and different filters combine with AND. A link that names filters wins and is remembered. A report’s sprint, epic and version are not remembered, so a closed sprint never reopens by itself. The list in JQL or saved-filter mode neither restores nor saves a layout.
